Electronic Filing

The Journal of Computer Science Application and Engineering (JOSAPEN), published by Lentera Ilmu Publisher, Indonesia, uses an electronic manuscript submission and editorial management process to facilitate efficient, transparent, and systematic scholarly publishing.

Authors are required to submit their manuscripts through the journal's official online submission system and prepare all submission files in accordance with the journal's Author Guidelines. Electronic filing enables the editorial team to manage manuscripts, communicate with authors, coordinate peer review, and maintain records throughout the publication process.

1. Electronic Submission System

All manuscripts must be submitted through the official JOSAPEN website:

Journal website: https://journal.lenterailmu.com/index.php/josapen

Authors must register for an account or log in to an existing account before submitting a manuscript. During registration, authors should provide accurate and complete information, including their full name, institutional affiliation, and valid email address.

The corresponding author is responsible for completing the submission process, ensuring the accuracy of the submitted information, and maintaining communication with the editorial office throughout the review and publication process.

Authors should not submit the same manuscript more than once or submit it simultaneously to another journal.

2. Manuscript Preparation and File Requirements

Before electronic submission, authors must carefully review the JOSAPEN Author Guidelines:

Manuscripts must be written in English and prepared using the official JOSAPEN manuscript template. The manuscript must contain the required scholarly components and follow the journal's formatting and referencing requirements.

The principal submission requirements are as follows:

  • File format: Manuscripts should be prepared in Microsoft Word format (.doc or .docx), following the journal's template.

  • Length: Manuscripts should generally contain between 5 and 16 pages. Articles exceeding this limit may be subject to editorial evaluation.

  • Abstract: The abstract should contain 200–300 words and summarize the research objective, methodology, principal findings, contribution, and conclusions without citations.

  • Manuscript structure: Authors are encouraged to organize the manuscript into Introduction, Method, Results and Discussion, and Conclusion sections, as appropriate to the research.

  • References: Authors should provide at least 15 relevant references, with at least 80% drawn primarily from international journal articles published through ScienceDirect or indexed in Scopus, as specified in the Author Guidelines. References should follow IEEE style.

  • Author information: The corresponding author must provide a valid email address and institutional affiliation. All author names, affiliations, and contribution information must be accurate.

Submissions that do not comply with the journal's requirements may be returned to the authors for correction before editorial consideration.

3. Required Submission Information

During electronic filing, authors must complete the information requested by the submission system, including:

  1. Manuscript title.

  2. Abstract and keywords.

  3. Full names of all authors.

  4. Institutional affiliations of all authors.

  5. Corresponding author's email address and other required contact information.

  6. Selected manuscript type, where applicable.

  7. Relevant declarations concerning originality, authorship, conflicts of interest, funding, and research ethics, as applicable.

Authors must ensure that the information entered into the submission system is consistent with the manuscript and all accompanying documents.

4. Supporting Documents and Supplementary Files

Where applicable, authors may be required to provide supporting documents in addition to the main manuscript. These may include:

  • A cover letter addressed to the Editor-in-Chief.

  • Author contribution statements.

  • Conflict-of-interest and funding declarations.

  • Research ethics approval or informed consent documentation, where applicable.

  • Permissions for copyrighted figures, tables, images, or other third-party materials.

  • Supplementary datasets, figures, tables, software descriptions, or other materials relevant to the research.

  • An appropriate declaration of AI-assisted tools used in manuscript preparation, in accordance with JOSAPEN's Publication Ethics policy.

Authors should upload each document using the appropriate file designation in the submission system. Any additional document specifically requested by the editorial office must be provided within the stated timeframe.

5. Editorial Screening and Peer Review

After electronic submission, the manuscript undergoes an initial editorial assessment to determine whether it falls within the journal's scope and meets the basic requirements for scholarly quality, originality, formatting, and publication ethics.

Manuscripts considered suitable for further evaluation proceed to the journal's double-blind peer-review process, in which the identities of authors and reviewers are concealed from one another, subject to the journal's review procedures.

During the editorial process, manuscripts may receive one of the following decisions:

  • Accepted for publication.

  • Accepted subject to minor or major revisions.

  • Rejected.

Authors may be requested to revise their manuscripts in response to editorial and reviewer comments. A request for revision does not guarantee eventual acceptance. Authors must submit revised files and responses to reviewers within the deadline specified by the editorial office.

6. Manuscript Tracking and Editorial Communication

Authors should monitor their manuscript status through the journal's online submission system and regularly check the email address associated with their account.

All communications concerning editorial decisions, revision requests, additional documentation, and publication arrangements should be handled through the designated journal communication channels.

The corresponding author is responsible for coordinating responses on behalf of all co-authors and ensuring that requested revisions and supporting documents are submitted accurately and on time.

Authors should quote the manuscript identification number, when available, in communications with the editorial office to facilitate efficient processing.

7. Research Integrity and Publication Ethics

All electronically submitted manuscripts must comply with JOSAPEN's Publication Ethics policy:

https://journal.lenterailmu.com/index.php/josapen/Ethics

Authors must confirm that their work is original, has not been published previously, and is not under consideration by another journal. All sources must be properly cited, research findings must be reported accurately, and all listed authors must have made appropriate contributions to the work.

Plagiarism, data fabrication, data falsification, duplicate submission, inappropriate authorship, and other forms of publication misconduct are unacceptable.

Authors must also disclose relevant conflicts of interest and funding sources and provide research ethics information where applicable. The use of AI-assisted tools in manuscript preparation must be declared in accordance with the journal's applicable policy. AI tools cannot be listed as authors, and authors remain responsible for the accuracy, originality, and integrity of the submitted content.

8. Final Submission and Publication

Submission through the electronic system does not guarantee acceptance or publication. Each manuscript is evaluated according to the journal's editorial policies, peer-review outcomes, scholarly quality, and relevance to the journal's scope.

Following acceptance, authors may be asked to provide final editable files, verify author information, review page proofs, and complete any outstanding publication requirements.

The journal publishes two regular issues annually, in January and July. The assignment of an accepted manuscript to a particular issue depends on the completion of the editorial and production processes and the journal's publication schedule.

9. Technical Assistance

Authors who experience difficulties with registration, file uploads, submission procedures, or manuscript tracking should contact the JOSAPEN editorial office through the contact information available on the journal's official website.

Authors are encouraged to consult the Author Guidelines and relevant journal policies before contacting the editorial office to help resolve submission-related issues efficiently.

10. Commitment to Efficient Electronic Filing

Through its electronic filing and manuscript management process, JOSAPEN aims to promote accessible, transparent, and accountable scholarly communication. Authors, editors, and reviewers are expected to cooperate throughout the submission and review process to maintain the quality, integrity, and timely dissemination of scientific research.

By submitting a manuscript electronically, authors acknowledge their responsibility to comply with the journal's submission requirements, editorial procedures, and publication ethics policies.
